Checkout Process

Dear Residents,


As the end of the academic year quickly approaches, it's time to start planning your end of the year check-out. We want to ensure a smooth and organized process for all students. Please carefully review the following information and take necessary actions to complete your check-out by the designated deadlines. If you have any questions, please speak with your RA, CLC,  Sophia McDermott (Dean of Student Engagement) or our office.


Scheduling Check-Out Time:


All students must schedule a check-out time with their Resident Assistant (RA) by Friday, May 10th, 2024. There will be sign-up sheets on your RA’s door. Failure to schedule a check-out time will result in an improper checkout fine as well as waiving of your right to dispute any assessed room cleaning or damage charges.


Check-Out Deadline:


All students must be checked out of their residential area by 5:00 pm on May 17th, 2024. Graduating students, participating in graduation,  must complete their check-out by 2:00 pm on May 19th, 2024. 


**Students required to stay beyond these deadlines because of Graduation or Nationals competition must be authorized by their coach or supervisor and that information sent to Student Engagement and Housing before May 10th. Students approved for HC Summer Housing have until 2pm on May 26th to check out and then into Summer Housing. **


Expectations for Fee-Free Check-Out:


To ensure a fee-free check-out, please ensure that your space is cleaned, organized, and ready for inspection. This includes:


Microfridge Cleaning (if rented)

To ensure your microfridge is clean and ready for checkout, please do the following:


Damage & Cleaning Expectations:


Saying it all again here but to avoid any charges, be sure that your room/apartment is completely clean of all trash and personal items, that any appliances have been thoroughly emptied and cleaned and common spaces are also clean. Ensure that all original furniture is in the room/apartment and any non-HC provided furniture is not. Floors need to be vacuumed and free of dirt and stains. (Vacuums are shared so plan ahead.)  Apartment bathrooms need to be thoroughly cleaned (shower, sink, toilet, etc.) as do all apartment living spaces and balconies. 


Damage and Cleaning Charges:


To simplify this process, here are the common charges that may apply: Your RA or CLC will talk you through each charge as it is applied to your Room Condition Report while you’re checking out. Damage and cleaning charges for shared spaces will be assessed separately to each apartment resident at the time of each resident’s individual check out.
